The Challenge
Faced with limited capacity and mounting demand, Eastern Education Group’s admissions team was struggling to keep up with the volume of interview scheduling tasks during peak enrolment periods. The manual process of coordinating availability, sending invites, and confirming interview slots across multiple departments left staff stretched and critical deadlines at risk.
What We Did
Niico partnered with Eastern Education Group to automate their interview scheduling process during a high-pressure period in the admissions cycle. With limited time and capacity, the team needed a way to handle bookings at scale without manual admin. Niico deployed an intelligent scheduling bot that seamlessly managed availability, coordinated bookings with applicants, and sent confirmations, all without requiring staff to intervene. This allowed the team to run a critical part of the admissions process in the background, without impacting day-to-day workload.

I don’t think we would have any interviews scheduled at all if it wasn’t for the automation. We got 400 interviews scheduled two weeks earlier and in 7 hours by the bot, that would have taken us a week to do previously. We are starting to build an increasing awareness about AI across the teams who didn’t realise what it could do to help them, and calm fears that the intent is not to take over their roles but to complement them.
